We are the data controller for the personal data described in this policy. We handle personal data in line with the EU General Data Protection Regulation (GDPR), Spain’s data protection law (LOPDGDD) and, for clients in the UK, the UK GDPR.
2. What we collect
We only collect what we need. This may include:
- Contact details: your name, your partner’s name, email address, phone and WhatsApp numbers.
- Event details: dates, country and venue preferences, guest numbers, budget, services needed, food and drink choices, and anything else you tell us about your plans.
- Special category information: dietary needs, allergies, accessibility needs or religious or cultural requirements, only when you choose to share them so that we can plan your event.
- Venue and supplier details: if you submit our List Your Venue or List Your Services forms, your business and contact details.
- Booking and payment records: contracts, invoices and payment information.
- Technical information: limited information that your browser sends when you visit the website, such as your IP address, which is processed by the services described in our Cookie Policy.
- Website usage: if you accept analytics cookies, Google Analytics collects information about how you use our website, such as pages visited, approximate location and device type. We use this, with your consent, to improve the website.
3. How and why we use it
- To reply to your enquiry and prepare a proposal, because you have asked us to (steps before entering into a contract).
- To plan and deliver your event, including sharing relevant details with venues and suppliers, because this is needed to perform our contract with you.
- To handle dietary, accessibility or similar information, with your explicit consent, which you can withdraw at any time.
- To keep accounts and records, because we are required to by law.
- To review venue and supplier submissions and work with suppliers, for our legitimate interest in building our network.
- To send occasional news or inspiration, only if you have opted in. You can unsubscribe at any time.
We do not sell your personal data and we do not use it for automated decision-making.
4. Who we share it with
- Venues and suppliers you choose to work with, only as far as needed to plan your event.
- Service providers who help us run our business, such as our website host, our form service (which passes form submissions to our email), email and messaging services (including WhatsApp, if you contact us there), and our accountants.
- Authorities where the law requires it.
Some of these providers may store data outside the UK and European Economic Area. Where they do, we rely on adequacy decisions or standard contractual clauses to protect it.
5. How long we keep it
We keep enquiry details for up to 2 years if you do not book with us. If you do book, we keep your event file for up to 6 years after your event, and accounting records for as long as the law requires. Venue and supplier submissions are kept while we are working together, or for up to 2 years if we do not.
6. Your rights
You have the right to ask for a copy of your data, to have it corrected or deleted, to restrict or object to how we use it, to have it transferred to you or another organisation, and to withdraw consent at any time. To use any of these rights, email info@swishsoirees.com. We will reply within one month.
If you are unhappy with how we have handled your data, please tell us first. You can also complain to the Spanish data protection authority, the Agencia Española de Protección de Datos (aepd.es), or if you live in the UK, the Information Commissioner’s Office (ico.org.uk).

We use secure, reputable services and limit access to personal data to the people who need it to plan your event.
